What's included in a commercial equipment rental plan?

What’s included in a commercial equipment rental plan?

A Rental+ plan bundles the equipment with the servicing that keeps it running. That means the appliance itself on a multi-year rental, plus inclusive service and maintenance: call-outs, routine servicing, parts and Planned Preventive Maintenance, all at no extra cost. If a machine cannot be fixed, we replace it. There is no upfront capital outlay, and you pay a fixed amount weekly.

Knowing exactly what a plan covers is what makes the decision easy, so this guide sets out what you get, how the model works, and what to check before you sign.

What’s included in every plan

Every Rental+ plan covers the same core things, so you are not comparing a different package each time.

The equipment, on a multi-year rental, chosen from across the kitchen: cooking, refrigeration, warewashing, food preparation, servery and beverage.

Inclusive service and maintenance, which means call-outs when something goes wrong, routine servicing to keep the equipment in good order, and replacement parts, all at no extra cost.

Planned Preventive Maintenance, so equipment is looked after before it fails rather than only after.

The fix-or-replace guarantee: if a unit cannot be repaired, we replace it.

A nationwide network of engineers, so wherever you trade, cover is close by.

How the rental model works

You pay a fixed amount weekly by direct debit, with no upfront capital outlay. The rental runs over a multi-year term, which is what lets the cost stay level and the servicing stay included throughout.

Plans use new or reconditioned equipment. Reconditioned units, which we call Used Approved, are fully quality-checked and maintained to the same standard as new, so the kit is dependable whichever you receive. The point of the plan is that the equipment stays reliable and the cost stays predictable, rather than you carrying the risk of repairs and replacement yourself.

Getting started: the onboarding steps

From that point, servicing and breakdown cover are in place and you can focus on running your kitchen.

1
Online Credit Check

A soft credit check, which does not affect your credit score in the way a hard search can.

2
Contract Set Up

A security deposit, set up alongside your weekly direct debit.

3
Get Your Equipment

Delivery of your equipment, after which it is covered for the term.

What’s not included, and what to check

A rental plan covers the equipment and its upkeep, not the things you consume in daily use, so items like coffee beans, detergents and other consumables are yours to buy. Cover is for normal use and fair wear, so it is worth agreeing at the start how the plan treats accidental damage or misuse. None of this is hidden. The plan is built to be transparent, with no surprise costs, and our team will talk you through anything you want to confirm before you commit.

Why inclusive maintenance matters

When a fridge or a warewasher fails in the middle of service, the cost is not only the repair. It is the trade you lose while the machine is down. Inclusive maintenance turns that risk into a fixed, known cost, because servicing, parts and breakdown cover are already in the plan. You get predictable weekly outgoings and equipment that keeps working, which is the whole point of renting rather than buying. You can see how the service side works on our inclusive maintenance page, and how the wider model fits together on our rental plans explained page.

Who a rental plan suits

Rental plans work best for operators who want reliable equipment without owning it outright and handling the upkeep themselves. That covers most small and growing food businesses: pubs, cafes, coffee shops, restaurants and hospitality venues that would rather put their capital into the business than into equipment.

A new venue benefits most obviously, because a plan removes the largest single opening cost and gets a full kitchen in place without a big capital outlay. A growing or multi-site operator benefits too, because each site can go onto the same maintained plan, which keeps equipment and service consistent across locations as the business expands. It also suits any operator who values a predictable, fixed cost over the swings of owning, repairing and eventually replacing equipment themselves.

It is worth confirming the practical details at the start so there are no surprises later. Ask how delivery and installation are handled, what happens if you need to move equipment between sites, and how quickly an engineer can attend if something goes wrong. None of this is hidden, and the team will walk you through it before you commit. If you would rather the equipment simply worked, with someone else responsible for keeping it that way, a plan is built around exactly that.

How a rental plan compares with buying

The point of a plan is to turn the cost of equipment into something predictable. Buy a machine outright and you pay the full price up front, then carry the servicing, the repairs and the eventual replacement yourself. Rent it and you spread the cost into a fixed weekly payment with the upkeep already included, so the number you agree at the start is the number you budget for.

That matters most in two situations. For a new site, renting removes the single largest opening cost, so you can put your capital into stock, staff and fit-out instead of tying it up in equipment. For an established business, it turns an unpredictable repair-and-replace budget into one planned figure and lets you add or change equipment as your menu and covers change rather than writing off kit you have already bought. We look at the full trade-offs, including when buying can still make sense, in our guide to renting vs buying commercial kitchen equipment.
